



Overview
You will be responsible for designing and delivering comprehensive training programs to equip our virtual assistants with the knowledge and skills necessary to excel in their roles.
What You’ll Do
- Manage calendars, recurring meetings, and client calls across multiple business lines
- Draft and send NDAs, offer letters, and client-facing documents
- Partner with team members on scheduling to coordinate candidate and recruiter commitments
- Prepare and update dashboards, trackers, and client reports
- Support invoicing, contracts, and fee agreement tracking
- Maintain master client lists, libraries of job descriptions and notes, and candidate records
- Assist recruiters with interview coordination, job postings, and deliverables
- Provide operational support for executive search projects with accuracy and speed
- Document workflows and help create SOPs for repeatable tasks
What You’ll Bring
- Proven experience in operations, administration, or executive support
- Strong organizational and multitasking skills; detail-oriented and reliable
- Excellent written and spoken English with professional polish
- Proactive, accountable, and able to anticipate needs
- Professional communication and client-facing presence
- Familiarity with data tracking, reporting, and business systems (ATS experience a plus)
- Flexibility to work primarily Eastern Time, with coverage overlap as needed
